Creating a plan

The first rule to hosting a successful recruitment is to plan ahead of time by creating a plan. Sure, you could throw some information meetings and rush events together at the last minute, but rest assured that last-minute preparations will always show. Think about other events you’ve attended on campus – you can almost always distinguish between the ones that were well-planned and the ones that were not. The truth is, it’s never too early to start preparing for next semester’s recruitment. In fact, some chapters started coordinating next semester’s recruitment as soon as this semester’s was over! Not sure where to start? If the concept of planning a recruitment seems overwhelming, try thinking of the recruitment process as the sum of four parts: People Logistics Advertising Needs Each of these plays a pivotal role in your chapter’s PLAN for recruitment. Below you’ll find examples of questions to answer in your preparations, and while many of them seem basic, every chapter has overlooked any one of them at some point. By carefully considering these details ahead of time, your chapter can pay more attention to the actual process of recruiting and getting to know prospective members, and make recruitment more enjoyable for everyone.

How to Plan

A solid recruitment plan should include answers to the following questions:

  • People: Who needs to be at what locations, and when? How many people do you need to run each event, and what will each person be doing? Will someone be speaking? Are people needed for set-up and clean-up? Is everyone aware of their responsibilities?
  • Logistics: Have the dates, times and locations of each event been decided? Have room reservations been made? Have members and guests been given a copy of the schedule? How much money is in the recruitment budget? How will this money be Information provided by: Phi Sigma Pi National Headquarters allotted?
  • Advertising: What type of advertising will be done? How long will the advertising take to create and distribute? Where will the advertising be placed? What are the university’s policies on advertising? If mailing labels are used, when do they need to be requested? Who will be distributing the advertising?
  • Needs: What supplies are needed for each event? This includes food, decorations, audiovisual equipment, nametags, forms, and office supplies like pens and tape. Who will be responsible for getting these supplies? If your chapter hasn’t started planning for recruitment yet, there’s no time like the present!
