Inter-Chapter Events
Phi Sigma Pi does not have policies that specifically govern inter-chapter events though all policies regulating to Phi Sigma Pi activities, functions, meetings and events are applicable. All inter-chapter events, regardless of type and/or purpose, must adhere to all Phi Sigma Pi policies.
Hosting an Inter-Chapter Event
As the chapter hosting an inter-chapter event, your chapter should make certain preparations to ensure the safety and well being of guests. When inviting chapters to attend an inter-chapter event make sure to inform visiting chapters of your chapter’s risk management policies and procedures. As guests of your chapter, visiting chapters are expected to follow any policies or procedures your chapter has established.
Checklist for hosting an inter-chapter event:
- Inform visiting chapters of your chapter’s risk management policies and procedures.
- Solicit guest lists from visiting chapters.
- Use a compliance and liability waiver.
- Develop an Emergency Management Plan.
- Have visiting members complete emergency contact cards.
Attending an Inter-Chapter Event
As your chapter prepares to attend an inter-chapter event, preparations should be made to ensure the experience is safe for those involved. As a guest, your chapter is expected to adhere to any risk management policies and procedures the host chapter establishes. Your chapter must also adhere to their own risk management policies and procedures. When discrepancies exist between the two, the guest chapter must adhere to the stricter of the policy. For example, your chapter may prohibit the consumption of alcohol at any Phi Sigma Pi event by any member but the host chapter may allow members of the legal age to consume alcohol. In this situation, members of your chapter are still prohibited from consuming alcohol in order to comply with your chapter’s risk management policy.
Checklist for traveling to an inter-chapter event:
- Inform chapter members of host’s risk management policies and procedures.
- Discuss chapter’s applicable risk management policies and procedures.
- Provide list of attending members to host chapter.
- Distribute and sign compliance and liability waivers.
- Check with sheltering institution regarding any institutional regulations related to student organization travel.
- Take along the chapter’s Emergency Management Plan and members’ emergency contact cards.
- Arrange for safe and comfortable transportation.
Initiates and Inter-Chapter Events
While Phi Sigma Pi does not prohibit the attendance of initiates at inter-chapter events, chapters are strongly discouraged from having their initiates attend inter-chapter events. Many institutions regulate the activities of initiates so be sure to check with your student activities office regarding travel and initiates. In addition, inter-chapter events in which alcohol is consumed poses additional challenges and risks. It is suggested that chapters hosting inter-chapter events prohibit the attendance of initiates. Also, individual chapters should prohibit their initiates from attending inter-chapter events.
