Choosing a Regional Conference Location

It seems simple enough - choosing a location for your regional event. Some regions simply let chapters pick from year to year while others have a rotation. But, are these types of solutions the best way to go about picking a location for your regional event? Many questions must be asked and answered before a location is chosen. Is this site going to ensure the best possible turn out for our event? Is lodging available, accessible, and convenient for out of town Brothers? Are adequate facilities available to accommodate the events of the weekend? These questions cannot be left to chance. Careful planning must take place to ensure that the location for your regional event is the best location for success.

Plan of Action

Let's take a look at the two ways chapters choose a location for their regional event - picking a centralized location or rotating from chapter to chapter. When picking a centralized location, regions determine what city is in the middle of the region and hold their conference in that city. This can be advantageous because all chapters attending the conference generally have the same amount of travel time. If any chapters are located in the city of the conference, they may be able to get the facilities that are needed for the conference. If no chapter is located near the city of the conference, then the entire region works on the facilities often sending ‘scouts’ to acquire the facilities needed. Lodging is almost always available in an urban setting. Plus, many Brothers can take time during the regional event to sightsee, and experience the culture and entertainment of that particular city. Another popular method of holding regional conferences is to rotate between each of the chapters in the region. Each year, a different chapter hosts the event, ensuring that no one chapter is responsible for hosting the event each year. The chapter that is hosting the event is responsible for finding and acquiring the facilities that are needed for the conference. The hosting chapter also houses brothers who travel to the conference. This method is certainly "fair". Each chapter gets to host and let's be real; this is both a huge honor as well as a lot of work. However, "fair" isn't going to ensure the best results each and every time. Some colleges are located in very rural environments - sometimes the college is pretty much the whole town! This may make your job of putting on a top rate regional event very difficult and present challenges that may affect the quality of the event.
